Configure Zoho CRM and Campaign automation - medium term job

General explanation: What we sell Agile PBX, Centralino Agile (CA) in italian, is a Unified Communication as a Service (UCaaS) solution and we sell it as a subscription. It means our customer signs a contract for the service (that includes phones and other related hardware rental, licenses to activate services on the cloud PBX, landlines at a flat rate, installation and maintenance) and he pays a recurring fee. The contract may be 1 year o 5 years long. The offer cannot be easily created from the CRM starting from a product list. It requires a rather complex Excel spreadsheet that calculates the monthly fee and a one off amount that may be required to set up the service. This spreadsheet shows us also real costs, marginality, cash flow informations that we aim to enter in CRM in the Deal record. Selling process We sponsor events where we present a One Time Offer (OTO) as Front End (FE) to let potential customers to evaluate the benefits of Agile PBX. We expect to raise 10-40 subscribers of this FE at each event. The potential customer steps in our stand, signs in as a new lead and we start with a preliminary consultancy (10 minutes) to qualify better the lead. The events last 1-4 days but only during the intervals people comes to our stand, thus the stand is crowded. When the lead subscribes the FE, he must pay via credit card. Then we need billing informations on the account, so we can send the invoice. The customer must also fill a form where he indicates the name, e-mail and extension of 6 persons that will be the tester of our solution in his company and our technical department activates a new PBX for the customer in the next 48 hours and sends to every tester his credentials to use the service. A nurturing campaign must be activated for each tester. A calendly must be sent to the customer so he can book a consultancy call (a videoconference). The focus of this call is to customize the POC and understand the Back End offer (BE) to submit to this customer after the POC. During the next 5 working days we customize the PBX. In the meantime the customer must schedule the next video conference where we show the specific benefits of Agile PBX for his company and we present the BE. If the BE is approved from the customer, we require more data and/or documents to complete the contract that will be partially transferred to a financial company. As soon as the financial company approves the rental, our technical department orders and ships the goods to the customer, configure the PBX and delegate the hardware installation to an external partner. The external partner contacts the customer to define the on site meeting and, at the end of the installation, requires the customer to sign the acceptance report.
