We are currently looking for a dynamic person to join our Gallery Administrative team . As Administrative Assistant, successful candidate will provide support to ensure that day-to-day operations are maintained in an effective, up to date and accurate manner. • Assists admin office in maintaining files and databases • Using a variety of software packages, such as Microsoft Word, Outlook, PowerPoint, Excel, Access, etc., to produce correspondence and documents and maintain presentations, records, spreadsheets and databases. • Attend and takes minutes and notes at meetings. • Assigns jobs and duties to office staff (such as reception and maintenance staff) as needed • Monitors day-to-day office operations and maintenance. Maintains office equipment/systems and coordinate repairs. • Schedules appointments and meetings for admin executives. Coordinate conference/meeting room bookings. • Serves as the go-to for office inquiries, challenges and conflicts • Manages admin staff schedules • Tracks office supply inventory and approves supply orders • Assists in the preparation of department budgets and expenses • Supervises all administrative personnel • Liaises with staff in other departments and external contacts. Job Skills • Excellent oral and written communication skills • Detail oriented and works with a high degree of accuracy • Highly organized and flexible • Ability to multitask and meet changing deadlines • Must be self directed and able to complete projects with limited supervision • Maintains staff confidentiality • Working knowledge of email, scheduling, spreadsheets and presentation software Job Requirements • 2 years or more related experience • Minimum: High School Diploma Preferred: Associates Degree
