Requirements Specification for Good In Goods Out Database

Overview

Develop a comprehensive database system to track the movement of goods, including goods in, goods out, and customer locations. The system should handle internal inventory locations and allow for the addition of new customer locations as the company grows. The database should support the tracking of product information, such as name, product number, and batch code. Additionally, it should enable the generation of consignment forms, storage of relevant documents, and tracking of new products and loan kit product locations.

Inventory Locations

2.1. Goods In Quarantine Defective: Track and manage defective products under quarantine.

2.2. Quarantine Decon Certificate: Manage products that have undergone decontamination and have obtained the necessary certificates.

2.3. Inspection: Track products undergoing inspection before being approved for use.

2.4. New Product: Manage newly introduced products.

2.5. Used Consignment Product: Track products designated for consignment purposes.

2.6. Demo Stock: Monitor inventory designated for demonstrations.

2.7. Goods Out and Customer Locations: Track the movement of goods leaving the company and their respective customer locations.

2.8. Ability to add new customer locations as the company expands.

Product Management

3.1. Support for existing 30 products.

3.2. Ability to add new products as the company grows.

3.3. Track products by name, product number, and batch code.

Consignment and Documentation

4.1. Generate consignment forms for external customer transactions.

4.2. Save copies of good received notes and inspection reports within the database.

4.3. Store relevant documents associated with each product transaction.

Tracking and Location

5.1. Track the location of new products and loan kit products, both internally and externally.

5.2. Provide real-time information on the whereabouts of each product.

User Interface and Validation

6.1. Simple and intuitive data entry user interface.

6.2. Generate validation reports to demonstrate the functionality and accuracy of the database.

Note: This requirements specification provides a high-level outline of the desired features and functionalities for the development of a Good In Goods Out database. It is recommended to further refine and elaborate on these requirements during the software development process in collaboration with stakeholders and the development team.

We are currently using Excel which is prone to manual errors we can provide a copy of the current spreadsheet.
