Executive Assistant & Marketing Manager

Job description
We are seeking an Executive Assistant. Must be extremely organized, possess good people skills, a pleasant phone manner, extremely computer literate
Duties include answering phones, collecting documents, filing, sorting, data entry, database management, scheduling, and coordinating appointments.
Audit and take care of the compliances once mortgage funded
Register New Agents in our internal Systems as well as FSRA
Organize and Archive all contacts and documents of the Hiring process
Manage Social media
Manage outsourcers
Working closely with new hires on their Business plans
Track and coordinate all inbound leads from websites, social media and other online sources
Manage all agent financial systems, creation of business operations manual, as well as involvement in future administrative hires and training.
Provide superior customer service and follow-up with excellent phone and in-person mannerisms and professionalism
Regularly update and proactively communicate with all parties, including sellers, clients, agents, title officer, lender, etc
Take inbound leads, online, by phone, or in person
Convert the leads to closed mortgage applications
Ensure a smooth mortgage application process for clients
Provide insight and feedback to management to continuously improve the customer experience
Coordinate social media
Create Monthly newsletters
Manage CRM
Client Follow up
Lead Follow up
Agent onboarding
Appointment confirmation
Data entry
Thank you cards
Blog posting
Requirements
· Ability to multitask with a high level of organization and attention to detail.
· Excellent data entry and computer skills are essential.
· Professionalism and respect of confidentiality is essential.
· Knowledge of web forms is an asset.
· Experience using Google Suite products (Mail, Calendar, Drive) and Microsoft Office products is an asset.
· Self-motivated
· Analytical: You can break down complex information for our clients
· Resourceful: You may not have all the answers, but you know how to get them
· Proactive: You are never idle and love being busy
· Positive attitude: We have a great culture and want to preserve it.
You will be required to give interview.
Job Types: Part Time with potential for Full-time for the right candidate.
Schedule:
3 hour shifts M - F, some light follow-up on weekends may be required.
Experience:
Previous Administrative assistant experience would be valuable but not necessary
